Payroll in Xero looks simple until it’s not.
In fact that is the problem in my mind with Xero Payroll. It is too simple. Payroll is just not simple.
Payroll is governed by ALOT of Legislation
- FWA Act
- NES Standards
- Tax Legislation (coz you tax people)
- Superannuation Legislation
To start us off (there is more).
For example Long Service Leave is not provided for in our NES standards but Annual Leave is.
Long Service Leave is dictated to us by State Legislation.
Most tradies set it up quickly just to “get wages out the door,” assuming they’ll tidy it up later.
That “later” is exactly where the problems start.
Superannuation misconfigurations, incorrect leave accruals, or wrong employee classifications don’t scream for attention straight away.
They sit quietly in the background while liabilities build or don’t build.
Xero does not have leave set up ready to go - you need to configure all leaves in Xero and there are a few.
Then it hits
- Underpaid super.
- Incorrect leave balances.
- Back payments owed.
And suddenly what felt like a quick setup turns into a financial and compliance mess.
And it is and it is what I fix day after day.
But the real cost isn’t just money
It’s time, stress, and risk with the ATO and Fair work Australia.
You know the people that took Woolworths to court recently.
Fixing payroll retrospectively is far more complex than setting it up properly from day one.
Payroll isn’t an admin task it’s a compliance system.
Getting guidance upfront saves you from cleaning up a very expensive mess later.
It literally takes me 3 times longer to fix it than to set it up.
